Privacy Policy
Last updated: 14 March 2025
This policy outlines how Elocarry ("we", "us", "our") handles your data, in full compliance with the UK General Data Protection Regulation (GDPR). By using our website or services you consent to this policy.
Age requirements
EU and UK users must be at least 16 years old. Users outside the EU and UK must be at least 13 years old.
Data we collect
We collect only the personal data needed to deliver and secure our services:
- IP addresses: to secure our website, detect fraud and verify user locations.
- Username and profile information: users must use pseudonymous usernames and avoid personal identifiers such as real names, social accounts or location.
- Technical data (HWID, IP address): for software security and to prevent unauthorised access.
- Usage information: timestamps, login attempts and software injections, to provide support and monitor account security.
How we use your information
- Service provision and security: IP addresses and HWID secure accounts, prevent fraud and ensure compliance with our terms.
- Support and assistance: timestamps and technical details help us diagnose issues and improve support.
- Account protection: IP and device information help protect your account from unauthorised access and sharing.
Data storage and security
Your data is stored on UK and EU cloud servers that comply with GDPR standards. Personal data is retained for a maximum of 7 years for legal and accounting purposes unless deletion is requested and approved. Daily website backups are kept securely for up to 6 months for recovery only, and are never shared or sold.
Data access
Staff may access IP addresses associated with posts, registration and recent activity. Admin team members may access IP and email addresses linked to accounts. Access is strictly limited, monitored and protected against misuse.
Your rights under GDPR
If you are a UK or EU citizen or resident, you have the right to:
- Access: request your data once every 30 days.
- Rectification: correct inaccurate information through your account settings.
- Deletion: request deletion where no forum posts have been made. Where posts exist, removal may be limited to anonymisation to maintain forum integrity.
- Data portability: request a downloadable copy of your data once every 30 days.
- Withdraw consent: withdraw consent for processing, though this may limit your access to our services.
ID verification
To prevent fraud and enhance account security we may require identity verification, including photo identification, selfie verification and proof of address. Verification data is processed through encrypted systems and reviewed only by authorised personnel. It is never stored directly on the main Elocarry website, and is handled through secure, GDPR-compliant verification providers.
Cookies and similar technologies
We use cookies to authenticate users and enable login, protect accounts and prevent fraud, analyse site usage and performance, and remember preferences. You can control cookies via your browser settings. Disabling them may affect site functionality.
Third-party disclosure
We never sell or rent personal data. Third-party access is strictly limited to necessary operations (for example, cloud hosting), bound by confidentiality agreements and GDPR compliance.
Data retention
General user data is retained for up to 7 years to meet legal obligations. Backup data is stored for a maximum of 6 months for recovery only. Identity verification documents are never stored on Elocarry.net and are managed by specialised verification partners.
International data transfers
Where international transfers are necessary, all transfers follow GDPR standards with adequate safeguards such as Standard Contractual Clauses.
Your responsibilities
- Do not post identifying information about yourself or others.
- Maintain anonymity and avoid disclosing sensitive personal details publicly.
- Notify us immediately if you suspect unauthorised use of your account or data.
Updates to this policy
We may update this policy periodically. Changes will be communicated clearly on our website.
Governing law
This policy is governed by and interpreted under UK law and GDPR.
